Members and Roles
EXFO Exchange webapp was created to be a collaborative fiber testing cloud platform. Our goal is to enable not only members of an organization to share their test results but also to facilitate better collaboration and sharing with contractors and subcontractors.
Your organization can invite anyone to specific workspaces and sub-workspaces, helping you centralize your test results.
Members
Members include your colleagues, employees, contractor points of contact, and contractor employees with whom your organization works. They can be invited to collaborate and share results at the organization level or within specific workspaces and sub-workspaces.
When inviting a member to a workspace, remember that they will also gain access to the sub-workspaces.
Roles
Roles are attributes assigned to members that grant different permissions on the platform. Currently, there are four distinct roles in EXFO Exchange:

Administrator
What Admins can do
Workspace Management
- Create, rename, or delete workspaces (including org‑level deletion)
- Invite members and manage all users (including QA Admins, Contractor Admins, and Members)
- Edit or update any member’s role
- List all users and remove any user
Job Management
- Create, move, assign, and delete jobs (single or entire workspace)
- Change job assignees and job statuses
- Generate and download reports from job pages or results browser
- List all jobs
Results Management
- Upload results, list results, export them, and generate reports
- Add attachments and comments (web & mobile)
- Delete individual results or entire job’s results
- Edit result properties
Configuration Tools
- Import test configs and job templates
- List templates
- Upload ad‑hoc results from FR3
QA Admin
What QA Admins can do
Workspace & user access
Cannot create, rename, or delete workspaces
Invite members and manage all users (including QA Admins, Contractor Admins, and Members)
Edit or update any member’s role
Access the users list and remove any user
Job Management
Create, move, assign, and delete single jobs
Change job statuses
Generate reports from jobs or results browser
Access jobs list
Results Management
Upload results, list results, add attachments
Create comments (web & mobile)

Invite members
Manually
To invite one or more new members to a workspace
- First select the workspace in which you want to invite the member on the top right of your screen.
- Go to the Home page OR in Member page ,click on “Invite”.
- Write down the emails of every person you want to invite separated by commas.
4. Go to the Home page OR in Member page , click on “Invite”.
Import members
To facilitate the invitation of larger organization, there is always the possibility to invite members using the import feature.
- First select the workspace in which you want to invite the member on the top right of your screen.
- Go to the Member page and click on “Import Members”.
- From the resulting modal, download the sample .csv file.
4. After adding all emails in the .csv file. Drag the file in the modal or click on “browse” to get the file.
5. Select the role you want to give to every person in the list. By default they will be all member. Remember that they can always be changed afterward.
Members cannot be switch from one workspace to another, you will have to remove them and invite them to the other workspace.
Remove members
You can remove a member from your organization or any workspace if you no longer wish him to access your data.
1. First select the workspace in which you want to invite the member.
2. Go to the Member page in the left menu, and scroll the list to find the member you wish to remove.
3. On the right side of the list, click on the 3-dot menu and select Remove
4. A dialog will ask you to confirm the removal and the list will refresh automatically once you click Confirm.
Since you can invite a member in multiple workspaces, removing a member from one specific workspace doesn’t remove it from everywhere.
Manage roles
You can change the role of any existing member from your organization and workspaces.
1.First select the workspace in which you want to invite the member.
2. Go to the Member page scroll the list to find the member you wish to change his role.
3. On the right side of the list, click on the role list and simply change the role of the user
