Manage jobs

You can easily manage jobs from the web application:

  • Review and add comments
  • Assign (or re-assign) them to appropriate members
  • Move them to another workspace
  • Delete them

Jobs status

The job status is useful to identify which jobs are not started, in progress or completed.

The job status is not tied in any way to job progress.

Also, jobs marked as Completed won’t be visible on the mobile, FTB or MaxTester. If a job has already been assigned to someone and is marked as Completed afterwards, it will be deleted.

To change the status of a job, simply click on the status indicator of the corresponding job, directly in the list.

   You can also change a job status from the jobs’s details page.

Comments

Comments are useful to convey additional information relating to the work.

For instance, you can add a comment to ask a question, or explain why part of the work cannot be completed.

You can view and add comments from both the web and mobile applications…

From web application, click on the icon in the job list to open the Comments side panel.

From the mobile, tap on a job to select it and then click on the icon and select Add or view comments

From this panel, you can

  • View all previous comments
  • Add a new comment

   You can also view and add comments on a specific test from the job’s details page.

Assignees

You need to assign a job to someone if you want this job to visible on the mobile, FTB or MaxTester. The assignee can then execute it and upload the related test results.

In EXFO Exchange, there are several methods to assign a job.

  1. Assign a job upon creation (see Creating jobs)
  2. Assign job during import (see Importing jobs)
  3. Assign one or more existing jobs (see below)
  4. Assign one specific job (see job Details view)

Regardless of how you assign a job, the person you want to assign it to must have access to the same workspace (or a parent workspace) in your organization. Please refer to the section Members and roles for more details on how to invite users to EXFO Exchange.

Assign one or more existing jobs

From the web application, you can assign jobs that are already available.

  1. Fill the checkbox next to the jobs you want to assign (or re-assign)
  2. Select the button in the toolbar
  3. In the right side-panel, type/select the name of the assignees

Please note: Only jobs which are in the same workspace as the current workspace can be assigned. If you want to assign a job located in a sub-workspace you can either :

  • change the current workspace
  • click on the job’s name to navigate to the details page, and update the assignees afterward

If the selected jobs were already assigned to someone else, those assignees will be overwritten.

Move

When working with various teams and/or contractors, you would usually create workspaces to categorize their respective work (i.e. the jobs).

To know more about workspaces, please refer to Organization and workspaces section.

   Depending on your workflow, you may have to “transfer” this work to another team or contractor, or “archive” this work for later.

You can easily do this by moving the relevant jobs to another workspace.

To move one or more jobs, follow these steps :

  1. Fill the checkbox next to the jobs you want to move
  2. Select the button in the toolbar
  3. In the selector, pick the new workspace
  4. Click on Move

    If some jobs are already assigned and/or in progress, all existing results, attachments and comments will be moved as well to the new workspace.

    However, if the assignees do not have access to the new workspace, those jobs will be removed from their mobile, FTB or MaxTester and unsynced results will be discarded.

    Delete

    If some jobs are no longer relevant you can delete them from your organization.

    To delete specific jobs, you can do it directly from the Jobs page with the following steps:

    1. Check the checkbox next to the jobs you want delete
    2. Select the button in the toolbar, then Delete
    3. Confirm the number of jobs you want to delete
    4. Click on Delete

    Alternatively, you can also delete all jobs under the current workspace, as follows :

    1. Select the workspace
    2. In the toolbar, click the icon and select Delete all jobs
    3. Confirm the name of the selected workspace
    4. Click Delete

    If some jobs are already assigned and/or in progress, deleting them will also delete all existing results (incl. binary files), attachments and comments.

    Furthermore, those jobs will be removed from the assignee’s mobile, FTB or MaxTester and unsyched results will be discarded.

    This action cannot be undone. All associated data will be permanently deleted.
